Community & Communication Policy

At Union our commitment extends far beyond providing classes, events, retreats, and programs. We are dedicated to nurturing a vibrant and inclusive community where every individual, regardless of race, ethnicity, religion, national origin, sexual orientation, gender identity, or disability, is not only welcomed but celebrated.

To protect this environment and ensure clarity, safety, and fairness for all, the following Community & Communications Policy is upheld by all members, clients, students, guests, teachers, and collaborators.

Community Care & Code of Conduct

We are committed to cultivating a space rooted in:

  • Mutual respect

  • Accountability

  • Emotional and physical safety

  • Anti-oppression and inclusion

  • Professional integrity

Any behaviour that undermines the safety, respect, or dignity of others, whether in person, online, or via written communication may result in warnings, suspension, or immediate cancellation of services or membership at the discretion of the studio.

This includes, but is not limited to:

  • Harassment, intimidation, or bullying

  • Discriminatory language or behavior

  • Repeated disregard for studio policies

  • Coercive, aggressive, or threatening communication

  • Disruption of classes, events, or community spaces

Official Communication Channels

All administrative matters must be directed through official studio communication channels only, including:

  • Studio email

  • Official booking platform

  • Front desk (if applicable)

Teachers and facilitators are not administrative contacts.
Contacting instructors directly regarding:

  • Billing

  • Refunds

  • Membership changes

  • Scheduling disputes

  • Policy enforcement

is a violation of this policy and places inappropriate pressure on educators whose role is to teach/guide, not to manage operations during business or non-business hours.

Administrative Inquiry Hours

All administrative inquiries are handled during the following times:

  • Monday–Thursday.

  • Any inquiries received after Thursday at 12:00 PM (noon) will be addressed the following Monday morning

This structure allows our team to maintain clear workflow boundaries and protect staff wellbeing. Messages sent outside of these hours are considered received on the next official business day.

Response Time Expectations

We strive to respond to all administrative inquiries within:

  • 24–48 business hours during business days

We do not provide instant or on-demand responses. Sending repeated messages, escalating through multiple channels, or contacting multiple staff members simultaneously due to impatience with response time is considered a breach of respectful communication standards.

Threatening, Coercive, or Escalatory Communication

The following behaviours are not tolerated:

  • Threats of refunds, chargebacks, or cancellation as leverage

  • Public complaint threats used to pressure staff

  • Ultimatums (“refund or cancel,” “respond immediately or else”)

  • Attempts to force immediate action outside policy

All concerns must move through documented, professional resolution processes. Violations may result in immediate cancellation of services or membership.

Membership Cancellations, Refunds & Chargebacks

All memberships and purchases are governed by our published:

  • Cancellation policies

  • Refund terms

  • Billing agreements

Refunds are not guaranteed and are assessed based on:

  • Policy eligibility

  • Timing of the request

  • Account history

  • Usage

Chargebacks filed without first following studio resolution procedures may result in immediate and permanent removal from all studio services.

The studio reserves the right to cancel any membership without refund if community or communication policies are repeatedly violated.

Boundary Protection for Staff & Teachers

Our teachers and staff are:

  • Contractors and/or employees with clearly defined roles

  • Entitled to professional boundaries

  • Protected from being placed into administrative conflict

Any attempt to bypass systems by engaging teachers directly for administrative resolution compromises workplace safety and is not permitted.

Digital, Social Media & Public Conduct

This policy extends to:

  • Social media interactions

  • Online reviews

  • Public comments

  • Direct messages

  • Group chats or online platforms connected to the studio

Harassment, defamation, misinformation, or aggressive conduct toward staff, teachers, or community members in public or private digital spaces may result in immediate termination of services or membership.

Right to Refuse Service

Union reserves the right to:

  • Refuse service

  • Cancel memberships

  • Deny future participation

  • Remove individuals from programs or events

when behavior conflicts with community safety, studio values, or communication standards.

This right is exercised to protect the collective wellbeing of the community.

Documentation & Record Keeping

All administrative communication is documented for:

  • Accuracy

  • Staff protection

  • Legal clarity

  • Fair and consistent enforcement

Verbal agreements are not considered binding unless confirmed in writing through official studio channels.

Agreement to Policy

By registering, purchasing, attending, or holding membership with Union, all participants agree to uphold this policy in full. Failure to do so may result in corrective action, suspension, or termination without refund.

Refund Policy

All purchases made at Union including memberships, class packs, drop-ins, workshops, events, trainings, and retail are final sale unless otherwise stated in writing.

Refunds are not guaranteed and are granted only under the following circumstances:

  • Studio-led class or event cancellation

  • Medical emergencies with documentation

  • Administrative error made by the our automated booking service

Refunds are not issued for:

  • Missed classes

  • No-shows

  • Late cancellations

  • Scheduling conflicts

  • Change of mind

  • Personal availability changes

Approved refunds may be issued as:

  • Account credit, or

  • Original payment method (at studio discretion)

All refunds are processed within 7–10 business days if approved.

Membership Cancellation Policy

Membership cancellation requests must be:

  • Submitted via email only

  • Verbal requests, social media messages, DMs, or phone calls will not be accepted

  • A minimum of 30 days’ notice is required prior to the desired cancellation date

All cancellation requests must be submitted through:

Pro-Rated Cancellation

  • A pro-rated final charge will apply at the time of cancellation

  • Members will retain 30 days of access to classes following their final billing cycle

Please make all purchasing decisions with this policy in mind before committing to a membership.

Membership Pausing Policy

Memberships may be paused under the following conditions:

  • A pause is permitted for a maximum of 2 weeks

  • Only one pause is allowed within a 4-month period

  • Pause requests must be submitted in advance via email or through the member portal

  • Memberships cannot be paused retroactively

This pause option is designed to offer flexibility for short-term life needs while maintaining commitment integrity.

Class Pack Hold Policy

Class packs cannot be placed on hold or extended unless:

  • A documented medical emergency occurs, or

  • A written exception is granted by management

Unused classes remain valid only within the original expiration window.

Payment & Booking Policy

All services at Union must be paid for in advance, including:

  • Classes

  • Memberships

  • Workshops

  • Series

  • Events

  • Trainings

  • Private sessions

How to Book:

All classes and events must be registered through:

Events may be registered:

  • Online

  • On the app

  • In person during studio hours

Class Cancellation & No-Show Policy

Cancellation Window

  • You may cancel a class without charge up to 2 hours before the scheduled start time

  • All cancellations must be completed online through your account

  • Cancellations via social media, email, text, or DM are not valid

Late Cancellations & No-Shows

  • Late cancellations (within 2 hours of class) result in:

    • Loss of the class credit

    • A $22+tax fee

  • No-shows result in:

    • Loss of the class credit

    • A $22+tax fee

  • Repeated no-shows may result in:

    • Restricted booking access

Event Cancellation Policy

Unless otherwise stated:

  • Events are non-refundable

  • Transfers may be permitted at the discretion of the studio

  • Missed events are not eligible for credit

Policy Agreement

By purchasing, booking, or attending services at Union 108, all members and guests acknowledge and agree to all refund, cancellation, pausing, and booking policies in full.

Failure to comply with these policies may result in:

  • Loss of booking privileges

  • Membership suspension

  • Membership termination without refund
